Safety stock item has no associated device

There is an item in stock, classified as safety stock, that has no associated device.

Cause

An item originating from safety stock does not necessarily have the serial number of the device on which it will be used.

In NDD Orbix, the safety stock represents the availability of supplies at a given location, not a fixed reserve for a specific piece of equipment.

The actual serial number can only be confirmed once the supply is actually installed and used.

For this reason, the NDD Orbix portal does not natively require or maintain a definitive link between the safety stock item and the device prior to installation.

Solution

  1. Identify the item removed from the safety stock

  2. Confirm the unit responsible for this item (location/customer/branch)

  3. When installing the supply on the device, record the serial number of the equipment on which it was used

  4. Record the following in your inventory control system (NDD Orbix portal, spreadsheet, or ERP, depending on company procedures):

    1. item code;

    2. installation date;

    3. equipment serial number;

    4. unit;

    5. quantity used.

  5. Update the stock records on the portal

  6. If there is integration with an ERP or other system, also update this transaction

  7. Verify that the balance recorded on the portal matches the physical inventory

  8. If the consumption link is not being correctly reflected by the integration, open a support ticket to analyze the issue

Additional information:

  • The reservation of a serial number on the portal does not, by itself, prove the equipment on which the item was actually installed.

  • The absence of a correct consumption record may generate discrepancies between physical stock and recorded stock.

  • Maintain traceability from the time the item leaves the safety stock until the final write-off of the supply on the portal.
