Create customer, site and department

The customer is the company where the devices are deployed; creating it is essential for the platform to operate.

Once created, you can register sites (branches or locations) and departments (internal divisions), allowing organized and efficient management of the devices.

Who can use this feature

Users with the Admin or Client management, Site management and Department management permissions

Instructions

Create customer

  1. Go to Administration > Customers

  2. Click on the ✚ button in the top right-hand corner

  3. In the Name field, enter the customer's name
    Spaces and special characters are not allowed.

  4. In the Display name field, enter the customer's name that will be displayed in the portal menu selection lists

  5. In the Phone field, enter the customer's phone number

  6. In the National Id number field, enter the customer's ID number

  7. In the WebSite field, enter the customer's website, if desired

  8. In the Country, State/Province/Region, City, Postal code, and Address fields, enter the customer's location information

  9. In the Additional Info field, enter additional comments about the customer's location, if desired

  10. Click the Save and Open button to create the customer's sites and departments

If the creating user belongs to one or more units, the client will only be visible after being assigned to one of them. In this case, a warning message will be displayed. Before proceeding with the creation of sites and departments, you must add the customer to a unit, as instructed at Create unit.

If the creating user does not belong to any unit, the client will be immediately visible in the grid so that the remaining configurations can be completed.

Create customer sites

Sites represent the customer's physical units (e.g., branches or headquarters). To create them, follow the steps below:

  1. Click on the Sites tab

  2. Click on the ✚ button in the top right-hand corner

  3. In the Name field, enter the site name

  4. Check the Default Site option if you want new devices to be automatically assigned to this site

  5. In the National ID Number field, enter the site’s identification number

  6. In the Country, State/Province/Region, City, Postal code, and Address fields, enter the customer’s location information

  7. In the Additional Info field, enter any additional notes about the customer’s location, if desired

  8. Click the Save button to create the site and return to the grid, the Save and Open button to create the site and open its registration, or the Save and Create button to create the site and remain on the creation screen

  9. Add the devices to the site:

Who can use this feature

Users with the Admin or Site management, Edit Printers (to link the site via the printer properties) or Edit computers (to link the site via the computer properties) permissions

There are two ways to add the device to the site:

1st way - through the customer
  1. Go to Administration > Customers

  2. Click on the name of the desired customer to open its properties

  3. Click on the Sites tab

  4. Click on the name of the desired site to open its properties

  5. Click on the Devices tab

  6. Click on the ✚ button in the top right-hand corner

  7. Select the devices you want to add to the site

  8. Click the Add button to add the devices and remain on the add screen or the Add and Close button to add the devices and return to the grid

Warning

If the site is set to default, the customer's new devices are assigned automatically.

2nd way - through the device
  • Printer:

  1. Go to Monitoring > Printers

  2. Click on the name of the desired printer to open its properties

  3. Click on the Info tab

  4. In the Site field, select the desired site

  5. Click the Save button

  • Computer:

  1. Go to Monitoring > Computers > Devices

  2. Click on the name of the desired computer to open its properties

  3. Click on the Info tab

  4. In the Site field, select the desired site

  5. Click the Save button

The selected site will be linked to the device and the changes will be reflected in the customer record.


When a printer is moved from one site to another, it will also be automatically transferred to the corresponding delivery location, provided that the printer has not been manually moved between delivery locations previously.

If the system is integrated with the ASM portal, when a printer is moved between customers, this change will be automatically reflected on the equipment’s page on the NDD Orbix portal.

Remove a device from a site

To remove devices from the site, follow the steps below:

  1. Select the desired device

  2. Click the 🗑 button in the top right corner

  3. Click the Confirm option in the message box to confirm the removal

When you create a site, a delivery location is automatically generated and linked to that site. All printers associated with the site will be automatically linked to the corresponding delivery location, provided they have not been manually moved between delivery locations previously.

Information

For more information about delivery locations, access Manage printer supply stock (printers) or Manage thermal printer supply stock (thermal printers).

When deleting a site:

  • Devices linked to the site will be automatically reassigned to the default site.

  • If printers are configured to automatically move between delivery locations, they will be automatically reassigned to the delivery location associated with the default site.

Change the default site configuration

Once the sites have been created, to change the configuration of the default site, follow the steps below:

  1. Click on the Sites tab

  2. Select the desired site

  3. Click on Set default

  4. Click the Confirm button in the message box

You can only set one site as the default site per customer. The default site cannot be deleted.

Create customer departments

Departments help organize devices according to the customer's internal divisions. To create them, follow the steps below:

  1. Click on the Departments tab

  2. Click on the ✚ button in the top right-hand corner

  3. Enter the name of the department

  4. Click the Save button to create the department and return to the grid or the Save and Create button to create the department and remain on the creation screen

  5. Assign the department to the site device:

Who can use this feature

Users with the Admin or Site management, Edit Printers (to link the department via the printer properties) or Edit computers (to link the department via the computer properties) permissions

There are two ways to assign the department to the site device:

1st way - through the customer
  1. Go to Administration > Customers

  2. Click on the name of the desired customer to open its properties

  3. Click on the Sites tab

  4. Click on the name of the desired site to open its properties

  5. Click on the Devices tab

  6. Select the desired devices

  7. Click the Assign department button

  8. Select the desired department

  9. Click the Save button

Departments created in a customer cannot be assigned to another customer.

2nd way - through the device
  • Printer:

  1. Go to Monitoring > Printers

  2. Click on the name of the desired printer to open its properties

  3. Click on the Info tab

  4. In the Department field, select the desired department

  5. Click the Save button

  • Computer:

  1. Go to Monitoring > Computers > Devices

  2. Click on the name of the desired computer to open its properties

  3. Click on the Info tab

  4. In the Department field, select the desired department

  5. Click the Save button

The selected department will be linked to the device and the changes will be reflected in the customer record.

If a department is deleted, the linked devices are left without an assigned department.
